How to Digitise Your Susu Business in One Day

A step-by-step guide to moving your susu collections from paper books to a digital platform — without disrupting your agents or your customers.

Going digital sounds like a big, disruptive project. It isn't. Most susu operators in Ghana move from paper books to a digital platform in a single afternoon — and their agents are collecting the very next morning as if nothing changed, except now every cedi is tracked automatically.

Here is exactly how to do it.

Before you start: what you need

You do not need computers for your agents, new phones, or technical knowledge. You need three things:

  • A list of your agents — names and mobile numbers.
  • A list of your customers — names, phone numbers, and their agreed daily contribution.
  • One Android phone per agent (the one they already use is fine).

If your records are already in a notebook or a spreadsheet, that is all the source material you need. We migrate them for you during onboarding — you do not retype anything.

Step 1 — Set up your business (30 minutes)

Your account is created with your business name and branding. Your existing customer records are imported, each customer is assigned to the right agent, and their contribution amount and frequency are set. By the end of this step your whole operation exists digitally.

Step 2 — Give each agent the app (10 minutes each)

Each agent installs the app on their Android phone and signs in with their mobile number and a PIN — no complicated passwords. After the first sign-in, the app works offline, so a weak network in the field is never a problem.

Step 3 — Collect as normal

Your agents keep doing exactly what they did before — visiting customers and collecting cash. The only difference is that instead of writing in a book, they tap the customer's name and the amount. It takes a few seconds, works with no internet, and the customer gets an SMS receipt automatically.

Step 4 — Watch it all in real time

From your phone or computer you now see every collection the moment your agents sync: who collected, from which customer, how much, and when. At the end of the day you approve each agent's reconciliation — and the books close cleanly.

What changes for your customers?

Almost nothing — except they now get an instant SMS confirming every payment, with their new balance. That single message does more for customer trust than anything else you can do.

The hardest part of going digital is deciding to start. The migration itself is done for you, and your agents adapt in minutes.

Ready when you are

Digitising your susu business is not a leap — it is a single, guided day. Once it is done, you never go back to guessing what your agents collected or spending your evenings adding up notebooks.
