How to Protect Your Susu Business from Agent Fraud

Agent fraud is the biggest hidden cost in cash-based susu collection. Here are the practical controls that stop it — without treating your honest agents like suspects.

Most susu operators trust their agents — and most agents are honest. But in a cash business, trust alone is not a control. The few who are tempted can do real damage precisely because there is no independent record of what they collected. Here is how to close that gap.

The three ways money goes missing

  1. Unrecorded collections — the agent collects cash and simply doesn't write it down.
  2. Delayed hand-over — the agent holds cash for days, using it in the meantime.
  3. Balance manipulation — the agent quietly adjusts a customer's records to cover a shortfall.

Every one of these depends on the same weakness: you have no record except the agent's own book.

Control 1 — An independent record of every collection

The single most powerful control is a collection record the agent cannot alter after the fact. When every payment is logged with a timestamp and the agent's identity — and cannot be edited or deleted — there is simply nowhere for an unrecorded collection to hide.

Control 2 — Give the customer proof

When each collection sends the customer an instant SMS receipt with their new balance, the customer becomes your auditor. If an agent collects without recording it, the customer notices the missing message. If a balance is wrong, the customer sees it immediately.

Customer SMS receipts are the cheapest fraud control you will ever deploy — and they build trust at the same time.

Control 3 — Daily reconciliation you control

At the end of each day, you should approve exactly how much cash each agent hands over. When the day's total is calculated automatically and the agent cannot reset their own books, hand-over happens on time and shortfalls surface immediately — not weeks later.

Control 4 — Assign customers, limit visibility

An agent should only see the customers assigned to them — not the whole book. When access is restricted at the data level, an agent cannot browse or alter records that are not theirs.

Control 5 — A tamper-proof audit trail

Mistakes happen, and legitimate reversals are part of business. The key is that nothing is ever silently deleted: a reversal flips the record's status and logs a reason, so every change is visible and accountable.

Good controls protect your honest agents as much as they catch the dishonest ones — because when the records are clear, no one can be wrongly blamed.

Putting it together

You don't stop fraud by watching your agents more closely. You stop it by making the records independent, giving customers proof, and reconciling daily on your terms. A digital platform builds all five of these controls in by default.
